商务信函的组成:
典型的商务信件由七个基本部分组成:1信头 2 日期 3 姓名和地址 4 称呼(salutation) 5 信文 6 信尾 7 写信人的签名和职位
A typical business letter consists of seven principal parts:(1)the letterhead ,(2)the date line,(3)the inside name and address,(4)the salutation,(5)the body of the letter,(6)the complimentary (称赞)close,(7)the writer's signature and official position.
To expend one's business,a foreign-trade firm is always seeking prospective customers and the try to establish business relations with them.To establish business relation is to introduce to other companies your business lines,capacities and financial status in the hope of doing business with them.(一个外贸公司往往寻求有潜力客户并与之建立业务往来来夸大自身的生意。建立业务往来也就是向其它你想要与之做生意的公司介绍你方所从事的行业,公司的能力和财务状况.)
Generally ,a firm may find foreign customers through the following channels:

Having obtained the name and address of the firm you are about to deal with,you can send a letter to express your desire to enter into business relations with them,in which the following will be contained:
Telling the addressee how you get their name
Express your intention for export or import
Introducing your company including business scope,experience and so on
Stating what kind of products you want to promote or to buy
Providing or asking for some information about the products
If necessary,offering the reference as to your credit standing(financial background)
Any letter of this nature received must be answered promptly and politely even if you are unable to meet the demand.The reason should be told in the reply so as to leave space for next dealing.

STATUS inquiry(资信调查)
It is always important to get the necessary information about the firm with whom you are about to deal concerning their reputation, financial status and business mode before the conclusion of a transaction,especially one that requires a large sum of money. Letters to request such information are known as status enquries.
To obtain the information,you may apply to :
Banks
Chambers of commerce
Commercial counselor's office
Business agencies
In general, the information obtained from a bank is most rellable. However , a bank will not give information directly to an unknown firm, so the firm has to make enquiries through their own bank.
When you make enquiries,"confidential" or "private an confidential " often appears at the head of the letter as well as on the envelope. Furthermore ,an addressed and stamped envelope is usually enclosed for the convenience of the information supplier.
In the letter enquiring about status, you may:
State the business with a new buyer/seller
Request information on the business standing of the buyer/seller
Express appreciation and promise secrecy
When replying to an inquiry, you'd better not mention the name of the firm enquired about especially when the reference report is unfavorable. In addition, such words as "this information is given without any responsibility on our part" are often contained in the reply in order to avoid any possible trouble.
在与一方交易尤其是涉及到很大的交易额的时候,了解对方的声誉,财政状况和商业模式是非常重要的。下面列出了资信调查的一些机构名称:

Brief introduction
When an importer wants to import something, he may send an inquiry to the exporter. In practice, there are two kinds of enquires:general enquriy and specific inquiry.
In a general inquiry, the importer may only ask for catalogues, price lists, samples or some other reference materials from the exporter. If both patied have never dealt with each other before, and then the importer will inform the wxporter of the source of his information at the beginning of his letter. Details of his own company and/or business will also be included. The letter as such is known as a "First inquiry". When making an inquiry, keep it brief,specific,reasonable and to the point. Sometimes ,you should mention the size of your order as large orders may obtain more favorable quotation. The tactic is to give the exporter some hope of substantial orders or continued business.
In a specific inquiry, the importer may require information as to price.
Specifications,discount,quantity,terms of payment,date of
shipment,etc.regarding some definite goods in addition to reference
materials. Enquiries mean potential business. Prompt, courteous and
careful replied are of great importance. When giving replies to
enquires, make sure that you have answered all the customer's
questions, and include all the points you want to make, assure your
customer that you have faith in your product or service. If there
is no stock available for the time being, you should acknowledge
the inquiry at once ,explaining the situation and assuring that you
will revert to
