出货旺季,需要注意哪些细节?

1、告知货期需谨慎

工厂一忙,各种情况都可能发生。告知客户货期一定要预留多几天,采用迂回方式告知客户货期具体是多少工作日(working days) 但会尽快安排生产,争取早点出货。

2、报运费时要注意

旺季运费浮动得厉害,之前我已经分享过表达了,这里再附上:

报海运费一定要加上有效期。Please be noted it will be valid within 1 week because of the busy shipping season.

要强调运费因为旺季有所浮动。会更新给客户变动的价格,尽量维持最好的价格给他:There is fluctuation on the freight charge. We'll try our best to keep you best rate for you and update it accordingly.

和客户说明 Final freight cost will be charged at actual. 以最后出的运费账单为准。避免旺季运费变动,把价格说死了,到时不好和客户回旋。

3、出运前得上心

一定要多和车间保持沟通,知道做货进展。一定要多拍点照片留底,实时和客户反馈。一定要提前通知客户做货情况,款到发货。一定要在发货前点好数量,确认好大货品质。一定要贴好装箱标识,避免清关麻烦。一定要检查包装,海运散货及空运要加强包装。出货前很操心很忙,这才是常态。好过过后客户投诉时再如热锅上的蚂蚁急得团团转。

 

4、 货期延误,如何告知客户?

之前有分享沟通思路和模板,这里不赘述。请戳:

但请记得两点:

  • 告知货期预留时间
  • 实时跟进生产进展

这样才能更及早地通知到客户货期延误。在出货前一两天再去告诉客户,真的很遭反感,遇到暴脾气的分分钟炸起来。因为他们如果是等着这批货做活动,那边一切安排妥当,只差物料就绪。临时才告知,除了误事,还会让他们觉得你很不负责任,即便有再多的理由,都很难听进去。

5、货运爆仓,如何安抚客户?

出现爆仓,第一时间要hold住,不必急着告诉客户。货代手里头都有很多个渠道,你也要动用手里头所有的资源去想办法看看能否在保证运费不变动的情况下换渠道走。

每天和货代保持沟通,并且同步更新给客户。在客户问你之前,先告诉他进展,让他觉得你一直很上心在跟进。

还可以从网络上获取一些仓库爆仓,司机排队进仓的照片给客户。因为很多客户对爆舱其实是很模糊的概念,或者一些人口本来不是很多的国家,根本想象不到具体人多货多的场景如何。有照片一目了然,也更能获得客户的同理心。

春节放假通知:

1) Please be informed that our office will be closed from: 日/月/年 (Monday) to日/月/年(Sunday) for Chinese New Year Holiday. Business will resume from日/月/年(Monday).

春节放假安排:我们公司将于XX至XX放假。XX正式开工。请知悉。

2) Please be informed that our company will break for CNY holidays from 日/月/年 to 日/月/年. Our factory will be closed from 日/月/年to日/月/年.

If you have any urgent support issue during holidays, please contact me at Whatsapp XXXX. Thanks for your kind understanding.

春节放假安排:我们公司将于XX至XX休假。XX正式开工。请知悉。如果在假期期间有任何急事,需要我们给予支持的,请在whatsapp上发讯息我。谢谢你的理解。

放假邮件自动回复设置:

3) I am currently out of the office to celebrate CNY holiday with my family until 日/月/年.

I'll reply you promptly when I return. But, if you require immediate assistance, please find me on Wechat or Whatsapp XXX. Thanks for your cooperation.

我同家人在欢庆中国春节假期。直到XX,才会在公司,届时会马上处理你的邮件。但如有急事,请联系我微信或whatsapp. 多谢合作。

年关将至,是时候写感谢信给新老客户了:

感谢过去一年老客户的诚挚合作:

4) We're delighted to tell you that you have been our customer for a whole year 或 for xx years!

Thank you for being a part of our family. We are very grateful for your continued patronage and always treasure the loyal customers like you.

我们非常高兴已经与您合作了整整1年或XX年。谢谢你成为我们这个大家庭的一部分,感恩你的持续回顾,我们会一如既往地珍惜像您这样的忠诚客户。

新合作的客户:

5) Let me take this opportunity to thank you for choosing XX (公司名). We are proud to have satisfied clientele like you and look forward to many years of working together.

If you have any questions about our products or service, please call us immediately at XXX, and we will be happy to assist you.

让我借此机会感谢您选择xxx. 我们很自豪地拥有向您这样的顾客,并期待以后更多的合作。如您对我们产品或服务有任何疑问,请直接联系我们xxx, 我们将竭诚为您服务。

6) We're glad that you found what you were looking for. It is our goal that you are always happy with what you bought from us, so please let us know if your buying experience was anything short of excellent. We look forward to working with you again.

我们很高兴你找到你想要订购的产品。我们的目标便是客户与我们合作愉快,所以如在过程中对我们有任何意见建议,请告知。我们期待与你再次合作。

还未合作的客户:

7) Thank you for taking the time to consider our products /service. I regret that we were not able to meet your current needs.

Please call me if your situation changes at any point in the future or if you have any questions. I will keep in touch with any updates. I hope that we will be able to do business together at some point in the near future.

谢谢你考虑我们的产品/服务。我很遗憾我们还未满足你目前的需求。如在接下来情况有任何变动,或你有任何问题,都可以和我沟通。我会与你保持关系,不定时更新(动态)。希望在不久将来我们能有合作机会。

催客户出货用语:

8) As you know the goods are ready for shipment, and we are worried about the freight rates going up towards New Year 或者CNY Holiday, please expedite the payment so we can proceed.

如你所知,货物已经做好,可以出运。我们很担心随着新年将至,运费会上涨,请尽快付款,我们好进展。

因爆仓延迟货物用语:

9) 海运:Sorry to inform you the shipping space is very tight on the planned vessel, our container was dumped to be loaded by the next available voyage. We will keep you updated.

很抱歉通知您,预计走的那班船船舱爆满,我们只能走下一班最近的船了。会告知您进展。

10) 空运:Sorry to inform you due to the peak season, shipping space is very tight. We are unable to catch the flight as schedule. Now waiting for forwarder's further update. Will keep you posted accordingly.

很抱歉通知您,舱位很紧张。我们没法赶上原计划的那班航班。目前在等货代通知,会相应地进一步告知进展。
